Adding iManage document links into OnePlace

What is this feature and why did we build it?

  • Create a stronger link between firm documents and OnePlace
  • Connect users with important client documents through Oneplace

This is a two-phase integration with a front-end component which allows users to link documents in their iManage DMS to OnePlace.

  1. Phase I of this integration will involve users adding a doc ID and choosing the database, or dragging and dropping an NRL file into OnePlace. Stories for phase I are listed below.
  2. Phase II of this integration will be to work with iManage on a more advanced search and browse of the firms iManage libraries. This integration will be dependent on firms running iManage Work10, which is their browser-based interface.

Elevator Pitch

Firms can quickly and easily create links to iManage documents from OnePlace. Perfect for documents like RFPs, Proposals and client strategy documents. Once the documents are linked, they will be valuable to any user viewing a company or opportunity record.

How does this feature work?

Users can add links to iManage documents in two ways:

  1. Adding a direct document link
  2. Drag and drop, using standard SalesForce files behavior.

Users can also delete files.

Required set up

The effort required to set up this integration is minimal. Once we have the database information, it's setting the database configurations and then set up the page layouts.

  1. Open the OnePlace Custom Settings Object and find the iManage options. Here you set the iManage configurations including the document libraries e.g. Legal, Knowledge, Shared Services etc. These are semicolon separated text values.
  2. On the page layouts, you'll need to add a single related list for Files to the page, then add the iManage component just above it. This allows users to add the Doc ID and choose the library (Legal, Shared Services etc.) which creates an NRL link. So achieves the same result as the drag and drop, but slightly easier depending on your work habits.

Go to Custom Metadata Types > Configuration (the OnePlace installed package) > Manage Configurations (button)

Can we link to a specific version number on a document?Not at this stage. The links will open up the latest version of each linked document.
How does security with the document work?  Does it honour iManage's security?Yes. All security is managed in iManage, not OnePlace.
