Adding Confidential Contact Details to a Contact Record

What is this feature and why did we build it?

We've built the ability for users to create an alternative contact record which contains the confidential details of a contact. 

We need our users to trust OnePlace with their valuable data, and adding this feature further allows us to deliver on this promise.

Elevator Pitch

Some firms want to be able to keep some contact details confidential, but still keep the contact visible in OnePlace as a place to store contact details. For example, where a Partner knows a prominent person but does not want that person's contact details e.g. mobile number and email address, shared with everyone at the firm.

The solution we have built provides peace of mind for people to privately store their confidential contact's details without fear that those details may end up in the wrong hands.

How does this feature work?

This feature is set up as a related contact record against the contact, and there are some security permissions to configure before this will be properly functional.

  1. Go to any contact record, under Details tab go to the field "Confidential Contact Detail" field and click to create one for a contact.
  2. Then click New Contact Detail to add confidential details.

3. Once the confidential record has been added, additional people can be granted access to these confidential details.

Required setup

Sharing Rule setup

Create a Contact Detail Sharing Rules against the Sensitivity field to set access levels on the confidential record. 

Page layout setup

Add Confidential Contact Details field to the relevant page layouts. The field label can be renamed using the translation overide.

Lightning page layout

Optionally a related record can be added to the Lightning page layout for contacts, referencing the Confidential Contact Details field. To have the details always displayed on the layout.

Can we use the confidential contact detail's email address for publications and campaigns?

No

This kinda defeats the purpose of having confidential details stored.

Workaround

The email address can be copied by a users who has permission to see the address into either the Alternate Email Address or Assitant Email Address on the Contact record and set up field level security so only the Events/Marketing users have access to view.

When an Event / Publication is sent, the alternative email address can be selected from the Invitee or Subscriber record as shown below.
